Congratulations! You’ve just received word that your project was approved. Here’s what you can expect next.

Offer Letter
You will receive an offer letter after your project is approved detailing the Foundation's decision and any terms and conditions.

Satisfying Terms and Conditions

The next step involves satisfying any terms and conditions. As each project is different, so too are the terms and conditions.  It is your responsibility to satisfy these requirements.  Typically, this includes:

  • Signing the offer letter and returning it within 30 days (not required for Small Projects)
  • Providing written confirmation of funding contributed to the project from other sources
  • Providing a revised budget (if different from the application).  Note: Significant budget changes may require further approval.
  • Providing a revised workplan (if different from the application). Note: Significant changes may require further approval.
  • Satisfying an additional "subject to" items designated in your offer.

Legal Agreement
Once you have signed and returned the offer letter indicating your intent to proceed with the project and all terms and conditions have been satisfactorily met, the legal agreement will be prepared. This agreement is a legally binding document that explains the responsibilities of each party. A reporting and payment schedule will be attached, which outlines when your progress reports are due and the payment associated with each reporting period. We will send you two copies of the agreement, both of which must be signed and witnessed and returned to us. We will return one copy to you after all signatures have been affixed.

Your First Payment
Your first payment will not be authorized until we have received your signed legal agreement.

Project Amendments
Contact your Program Manager before making any changes to your project. We are willing to accommodate reasonable requests for changes ... more

Funding Recognition
Submit all project communications materials and products to us prior to printing and production, release and distribution to ensure appropriate funding acknowledgments are included ... more


Service Standards

Our commitment to improving client service includes a number of Service Standards regarding decisions and payments.  We will strive to adhere to the following standards:

  • 10 business days from the date all conditions are met to the date the Contribution Agreement is mailed
  • 30 business days from the date the Project Report is completed to the date it is reviewed and approved
  • 15 business days from the date the Project Report is approved to the date the cheque is mailed

Your Contact at the Foundation
Under normal circumstances, your Program Manager will be your contact at the Foundation throughout the application process and for the life of your project.
